Systems and results, Ask those who are succeeding

Dudley Pond, Wayland, MA 01778This holiday season I have had the opportunity to go to a number of parties already.  At each of these parties I am interested in finding out from my friends who are successful what systems they use to be successful.  I want to know what they do in a day, how they organize their time, how they measure their results.  I asked this of the top agents from our offices at the annual party.  I asked this at some private and more intimate dinner parties of close friends not in the real estate business but very successful as entrepreneurs and corporate leaders.  I have asked some professional athletes I am lucky enough to know and have run into recently.  I am curious, at my age I don’t want to reinvent any wheel; I want to know, understand and follow the rolling wheels.  I have no hesitation to copy and paste.

Some of what I have found out.  It is all about the systems.  Each industry and profession has it’s own approach and patterns, but they all follow universal rules.  First rule is have a system and follow it. Second time block your day and stick to your schedule.  Third rule is to pay attention to what you are getting and adjust along the way. Fourth rule is to be grateful each and every day for knowing this. Fifth rule is share the wealth which means not only giving back in a monetary sense, but also giving back your time, knowledge, insight and skills.  In real estate, especially with the old timer’s I know, they won’t share a single successful idea.  That is ok, they are dinosour’s and will fade from the industry soon enough.  We live in a time of sharing and caring, not in hoarding all for yourself.  Let’s move on.

Weston Area map 02493 GoogleKnowing what you are good at and working hard at making yourself even better is paramount to your continuing success.  Learning, reading, researching and discussing best practices is always valuable.  Here in the Rain there are so many people willing to share with you.  This is the true beauty of this platform for which I am incredibly grateful to have found. My skills have never been in organization and so I have a lot to learn there.  I use Top Producer and it forces me, when I open it up and follow what it asks, to get things done.  This is good for me.  You wouldn’t have to use a system like Top Producer, but you do need a system.  Time blocking is another process I rebel against.  I want to be free to react and to respond, problem is at the end of the day I have reacted and responded to minor activities and lost site of what really needs to get done.  I am doing better just sticking to the plan as much as my old ways rear their needs daily.

All in all, as I wind down on my first year and plan the second I am buoyed up by the fact of growth through learning and applying that teaching to your work. Thank you Rain.

Profits to Probate Day 12 of 31

Attending a BostonAREIA meeting last night it was mentioned that Probate is the best place to find deals these days.  With so many investors hunting down deals and the banks not letting properties go for wholesale prices right now, probate is the answer.  It was suggested by one of the investors to bring pastries and cookies to the staff when you arrive which in Norfolk County would appear wrong.  The investor who suggested this is in a much sleepier area and Norfolk.  It is always a good idea to be polite and respectful all the time in business, but you can not appear to be bribing people with sugar.

11 letters will go out this week which is much less than the 30-40 that is suggested.  It has been mentioned that Probate research takes some time, a lot of time.  In Norfolk County you have to physically go to the Registry to gather your information.  In some areas you can do this on line.  In all areas you can subscribe to the local paper which will have the public notices, but I just don’t want to subscribe to 30 or so local papers.  That is a lot of recycling.

Several weeks into the program with only 12 days work done it is clear my day work is slowing my Probate work.  Instead of feeling pressured by this I will use these first 31 days of the program (no matter how long it takes me) as instructive.  You can always get faster, better, smarter at your work after you fully embrace the process. That is what the first 31 days are all about anyway.  It is not so much about following each day by day, but following the system and getting it right.

The fact that other investors also see the potential means that  it is vital to be diligent and forthright with the work. Persistence and consistency will always win out.  Off to finish some more.

Profits to Probate, Day 11 of 31

Last week was somewhat lost.  I spent time at the Registry; I listened to the tapes.  I also thought about it a great deal.  One of the visualization thoughts that occurred and re-occurred to me was the home itself.  My first home and where it might be and how all the work connected directly to this home and how the home connected to the resale of that home for the profit.  I spent time thinking about what Ron explains as his “service to the community”.  I know many people think that profiting from the death of a loved one in the sale of their home can be unconscionable, but Ron explains his own story about the death of his mother.

His mother lived some 5 hours from his home and he wished someone had approached him with an offer to buy the home quickly and pay him cash so he didn’t have to take trip after 5 hour trip to his childhood home getting the property ready, showing the home and selling the home.  This resonates with me.  It is a service for some people. It is these people I think of as I do the research.  If the deceased has a spouse or child still living in the home I will not send them a letter.  I think the best people are the ones who mirror Ron’s situation in living far from the deceased’s property.  These are the people I am looking for and this extends my search and the time of search, but I think it is the right approach.  I don’t ever want to appear as if I am a vulture.  I provide a service to those in need.

I also am an active and licensed Realtor® in these areas and must and will protect my reputation.  If all this work as a second job takes me longer, than so be it.  I am not in a road race, I am in a career and this has far more meaning to me than simply flipping some sale.  I lost some time this week, but I am gaining ground on the whole concept as I put in the necessary thinking time to coordinate all aspects of my life around this work.

Profits to Probate, Day 10 of 31 days

A third of the way there and I am through 3 of the four major aspects of this work.  I have found information and studied the process, which I am doing on an ongoing basis.  I have been to the Registry and developed a system to locate the property and the Executor (PR=Personal Representative) for the will along with the heirs.  I have written letters and sent them.  The next step is to reach out to these people and talk to them.  The expectation is that I will face far more no’s than yes’s and that is as it will be.  While I am  not looking forward to the rejection, I am focused on the outcome of attaining properties, getting them under agreement and moving them along to the next person who will be a good member of the community.

I realize that with my full time Realtor® work and all my listings I will probably not hit my targets of 20-40 letters out.  Ron does this weekly, but he has been at it for some time and this is all he does.  This is just one aspect, and a secondary one to my main work in real estate.  I can not hold myself to unrealistic expectations.  To be successful I will focus on the outcomes, but my outcomes may come a bit slower than I set up 10 days ago.  This is fine, all goals need to be assessed and re-assessed on a continual basis.  If I where doing just the one thing I would be all over it, but I am not. Balance in my work and home life is difficult enough these days, but with the added pressure of the holidays, the end of the year and coupled with unrealistic expectations it is tailor made for a melt down. This I will avoid by adjusting.

Profits to Probate Real Estate Day 9

Today  was a good day in Probate.  I went to the Registry of Deeds and sat in front of an ancient computer that barely worked.  Because I had not been there for some time I approached in with new eyes. My new eyes have been informed by all the reading and study the last couple of days.  Getting a deeper understanding of the process by listening to Ron Meads video every morning during my exercise regime in the morning has further opened my understanding of the process.  In Norfolk County, MA you have to go to the Registry.  You have to sit at an ancient computer and review the files.  There are thousands of them.  I look at the ones filed in Estates and Administration.  There is a number like NO11P2678EA that you have to put on a form along with the name of the deceased, your name, date, and the reason you are requesting the information.  This takes some time.

When you have the form filled out you hand it to the clerk.  The clerk goes and retrieves the file.  You then sit down with the file and begin the work.  You open the file and see if the deceased had property.  If the person had property then you fill out your form which means you fill out all the same information on the form you can leave the Registry with.  If that is not enough then you go back to your office and make sure the property has not been listed, sold or rented.  Then if all that is good then write the executor and the heirs a letter.  Mail the letters and look for a way to call the executor.  This is why so many people are not interested in doing Probate real estate.  Lots and lots of work before you get to possibility of possibly getting the property.  Wow.  I do feel like I am getting faster and my goal is to have a property under agreement in the 31 days.

Today I am driving around with one of my builder clients looking for property for his next project.  Part of probate real estate is learning what it costs to rehab properties.  I will use my time with Charles to build my knowledge of rehab and pricing.  I will learn about the building process and the timing of the subs.  Yesterday I had a discussion with a hard money lender regarding probate and found out she rarely does much of this kind of work.  Not because she isn’t interested in it, but because she rarely hears about it.  ‘She shared with me that few people in this area specialize in that type of real estate investing.

I do understand why.  Probate real estate is not part of the low hanging fruit of real estate.  There is a lot of work to it in terms of locating and building the book of business.  Because there is this barrier to entry is precisely why I want to do it.  First of all I want to know everything I can about real estate, construction, rehab, alternative methods of financing, wholesaling, buy and hold, flipping as I can.  The more I know, the better it is for all my clients including YourStorys Realty, LLC.

Because I did not work out this morning and didn’t get a time to listen to the DVD of 31 Days…. I can’t further report on that, but I did begin one of Ron’s other books about financing and flipping homes.  Since it is all related I want to know about it all.   I don’t feel as though I am getting ahead of myself with this because it is still part of the overall real estate investing world.  Anything I can put in is good for me and I embrace it wholeheartedly.

Well it is not really Day 7, but Day 9 and I am just getting around to writing the Day 7 post. Ron Mead’s book 31 Days to Profits in Probate has been a great read and is packed with useful information on getting started in locating properties in probate that you can approach to ask if they are interested in having the property bought quickly. This is a service for the community.  Many people faced with receiving a home in probate will already have a home. They could be living away from the area and are looking to close the estate, pay the taxes and move on. These people are willing to let a property go for less than the full value if you can promise them a quick closing.

I am a Realtor® and so my day job is working with my clients and prospects in the towns I serve. Wellesley, Weston, Wayland, Milton and Back Bay Boston all have wonderful homes and Condo’s and these are the areas I have homes for sale or have sold and bought homes for clients.  Not all homes are bought and sold through the MLS with agents.  There is a whole group of people who undertake selling their homes themselves called FSBO’s (For Sale By Owners).  Interestingly enough many of the people who start out as a FSBO will end up working with an agent because this work is not as easy as the Internet makes you think. It takes far more than putting a sign on your lawn and posting in one of the free real estate sites. This is a topic for another blog.

The world of Probate properties is another situation all together.  These are homes that are left in a will from a deceased person.  These homes will be handled through Probate and the Executor of the will can make a determination to work with an agent to sell the property, allow the heirs to take the property over in some form or another, or allow an investor to buy the property.  I am at the first week of learning and growing in this field of real estate.  Knowing all aspects of the real estate industry makes me a better Realtor®.  Helping my community by keeping houses occupied with people who care about the community is great for that community.  While I didn’t get this blog posted on the right day, rest assured I did work on Day 7 and Day 8 and today Day 9 on various aspects of the process.  Right now I am locating ways in which to streamline the convoluted process of gathering the information about these home.  The time and energy that is spent on the process is incredible, but I know by sticking with the plan I can master the intricacies.
